Volunteer Privacy Notice

SOLYRA CARE values your privacy and is committed to protecting the personal information of everyone who applies to volunteer with our organisation. This Volunteer Privacy Notice explains how we collect, use, protect and retain the information provided during the volunteer application process and throughout your volunteer involvement. This notice supplements our general Privacy Policy.

2. Information We Collect Depending on the volunteer role, we may collect:

  • Name and contact details
  • Postal address
  • Date of birth or age group
  • Languages spoken
  • Availability and preferred volunteering schedule
  • Areas of interest and preferred projects
  • Skills, qualifications and relevant experience
  • Motivation for volunteering
  • Driving licence and vehicle availability (where applicable)
  • Information voluntarily provided in forms or communications
  • References or supporting documentation where appropriate
  • Volunteer activity, training and participation records after acceptance into the programme

We only collect information that is necessary for managing our volunteer programme.

3. How We Use Your Information Your personal information may be used to:

  • Review your volunteer application
  • Contact you regarding your application
  • Arrange interviews or introductory meetings
  • Assess your suitability for volunteer opportunities
  • Assign volunteer roles and responsibilities
  • Coordinate projects, schedules and training
  • Maintain volunteer administration records
  • Issue volunteer certificates or confirmation letters
  • Protect the safety and wellbeing of volunteers, beneficiaries and our organisation
  • Comply with legal and administrative obligations

By submitting a volunteer application or enquiry through our website, you authorise SOLYRA CARE to contact you using the contact details you have provided, including email, telephone or any other communication method you have voluntarily supplied. We will only contact you for purposes related to your volunteer application or participation unless you have separately agreed to receive additional communications.

4. Who Has Access to Your Information Access to your personal information is limited to authorised SOLYRA CARE personnel who require it to manage the volunteer programme. Where necessary, limited information may also be shared with:

  • Project coordinators
  • Partner organisations involved in volunteer activities
  • Technology and service providers supporting our operations
  • Professional advisers or insurers where required
  • Public authorities where disclosure is required by law

We never sell or rent your personal information.

5. Sensitive Information We do not intentionally collect sensitive personal information unless it is genuinely necessary for a specific volunteer role, safeguarding responsibilities or legal obligations. Where appropriate, references, background checks or additional documentation may be requested before assigning activities involving older adults or other vulnerable individuals. You will always be informed of the purpose of such requests.

6. Data Security and Retention We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, loss, misuse, alteration or disclosure. Personal information is retained only for as long as necessary to administer the volunteer programme, comply with legal obligations or maintain appropriate organisational records. Applications that are not accepted will be securely deleted or anonymised when they are no longer required, unless you have agreed that we may retain your information for future volunteer opportunities.

7. Organisational Changes If SOLYRA CARE undergoes a merger, restructuring, transfer of activities, dissolution or similar organisational change, volunteer information may be transferred to the legal successor or the organisation assuming responsibility for the relevant activities, provided that such transfer complies with applicable Swiss law and the information continues to be used for purposes compatible with those for which it was originally collected.

8. Your Rights Subject to applicable Swiss law, you may request:

  • Access to your personal information
  • Correction of inaccurate or incomplete information
  • Deletion of your information where legally applicable
  • Restriction or objection to certain processing activities
  • Withdrawal of consent where processing is based on your consent
